BOOK EXHIBIT and ADVERTISEMENT
CALL FOR REGISTRATION
The Caribbean Studies Association (CSA) invites publishers to exhibit books published in French, Spanish, Dutch, English, and creole languages at the “mini-book fair” for the 43rd annual meeting, to be held in the Habana Libre Hotel, between the 4th and the 8th of June, 2018. The Organizing Committee has finally fine-tuned the details of this call for participation which expects to overflow the available spaces. This call is addressed to publishers and any other companies (which activities cover the Greater Caribbean) to exhibit books during the conference and/or advertise your products and services in our program book.
The 1000-plus members of the association particularly look forward every year to the opportunity to visit the Book Exhibit space on the conference site. This is where we find out what new publications in our fields reflect our interests, select books for course adoption and for our research, and get the chance to interact with the publishers and authors in person. We appreciate your commitment to continue publishing books in or about the Caribbean region.
Given the multilingual and interdisciplinary nature of our Association, the annual Book Exhibit presents CSA members (including scholars, academics, artists, activists, practitioners, writers, and allied professionals) with a grand opportunity to browse and purchase books outside of their specific disciplines and languages. In this regard, we especially welcome, and therefore encourage, the registration and participation of publishers from non-English speaking countries or publishers with books in Spanish, French, Dutch, Portuguese, and in any of the Creoles languages, which are the very representative languages of our greater Caribbean; we look forward to this mini-fair as a contribution to the rich linguistic diversity, particularly in the Cuban context.
This year we have added other services in the price list (see table below). The CSA is now offering display space for US$450 per table or US$300 for half a table for the week. By having such space, you can display your books, order forms, flyers, banners, and other relevant materials for the duration of the conference. If a representative from your organization cannot attend the conference, you can still arrange to have books or flyers (or a single book or flyer) displayed in your absence for an additional fee of US $100 (that is, $450+$100 or $300+$100). This ensures that staff of the CSA Local Organizing Committee (LOC) will oversee and guarantee the integrity of these items for you during the week; however, they will not be able to make any sales. Please note that there might be additional costs for shipping the books and other material to Havana, such as customs taxes as regulated by the General Customs of the Republic of Cuba depending on the commercial purpose of the items. The LOC will not be responsible for any of these shipping or other related costs; however, we can surely assist in providing some personalized shipping tips and options based on your own inquiries in this regard. CSA members, duly registered, will also have a space to display their recent titles (single-authored or edited volumes) in a combined “members’ table”.
We also encourage you to consider a number of advertising options for your publisher, company or organization. Advertising in the conference program book is highly recommended since every conference attendee wants to keep a copy of the program book for future reference; additionally, the program book is the only comprehensive document that transcends the conference itself, as it reaches other colleagues and friends in the wider academic communities in many countries. The images should be sent to the contact email listed at the end of this document. They should be pre-formatted according to the desired size and orientation (vertical or landscape), designed in gray scale or black and white, and saved in PDF format.
Please, see the table below for a complete list of displaying and advertising options and prices. Note that Book Exhibit and Advertisement payments should be made directly through the CSA website only after the reception of the CSA official invoice issued upon your request..
We encourage you to begin the process of making arrangements with our association to exhibit your books and other material now. However, the following deadlines and information should be noted:
- Initial registration for the book exhibit and invoicing requests starts now until April 14, 2018.
- In case of advertisement, all requests should be made and the relevant invoice should be paid for before March 15, 2018; the art work/images to be included in the program book should be submitted by the above date too, with the technical specifications enumerated above.
- Coordination and final arrangements (e.g., confirmation of participation, payment for display space) must be made not later than May 8, 2018.
- Books and other materials should ideally be received by the LOC in Havana by May 21 or before. The contact name and address for shipping will be communicated to the publishers at the time the invoice is sent.
This is a terrific opportunity to mingle with book lovers for five days. In order to display your books, you are not required to be registered for the conference. However, we do encourage you to also consider registering for the conference as this would allow you to attend panels during the entire conference week. We also hope that you will participate in our Book Launch sessions during which we will announce the recipient of the Gordon K. Lewis Award.
